Dictation allows you to speak instead of typing, which can be useful when writing longer documents, taking notes, or working faster in Microsoft Word.
In Microsoft Word, the built-in Dictate button is included with the subscription software Microsoft 365. However, if you are using a one-time purchase version such as Office 2024 or Office 2021, the Dictate button is not available inside Word.
The good news is that you can still dictate text in Word by using Windows’ built-in voice typing feature.
Dictation in Microsoft 365 #
If you use Microsoft 365, you may see a Dictate button directly in Word, usually on the Home tab.
With that feature, you can click Dictate, speak into your microphone, and Word will convert your speech into text automatically.
Dictation in Office 2021 and Office 2024 #
Office 2021 and Office 2024 do not include the same built-in Dictate button as Microsoft 365. Instead, you can use the voice typing function built into Windows. This works in Word and many other programs where you can type text.
Step 1: Open Microsoft Word #
Open Microsoft Word and place your cursor where you want the dictated text to appear.
For example, click inside a blank document or in the section where you want to continue writing.
Step 2: Start Windows Voice Typing #
Press the following keys on your keyboard:
Windows key + H
The Windows key is the key with the Windows logo, usually located between Ctrl and Alt.
A small voice typing toolbar should appear on the screen.
Step 3: Allow Microphone Access #
If this is the first time you are using voice typing, Windows may ask for permission to use your microphone.
Allow microphone access and follow any setup instructions shown on the screen.
Make sure your microphone is connected and working before continuing.
Step 4: Start Speaking #
Once the voice typing toolbar is open, click the microphone button if it does not start automatically.
Speak clearly and at a normal pace. Windows will convert your speech into text and insert it into your Word document.
You can use this method to dictate sentences, paragraphs, notes, and other text directly into Word.
Step 5: Stop Dictation #
When you are finished, click the microphone button again or close the voice typing toolbar.
You can also continue editing the text manually using your keyboard and mouse.
Tips for Better Dictation #
For best results:
- Speak clearly
- Use a quiet room
- Place the microphone close enough to your voice
- Check the text afterwards for spelling or punctuation mistakes
- Add punctuation manually if needed
Voice typing is helpful, but it may not always understand every word correctly, especially with names, technical terms, or background noise.
